Submission Deadlines
Submissions are open all year, broken into three periods, each four months long.
The three submission periods close on the following dates, every year.
– January 14th
– May 14th
– September 14th
Note About Time Zones
Please note that dates and times are based on the time zone where the magazine is published in Nanaimo, British Columbia, Canada –
Pacific Daylight (Savings) Time, GMT-7 (see clock just below).
For most places in the world, this will give you some extra hours to submit.
(London and Lagos are 8 hrs ahead, Mumbai is 12.5 hrs ahead, and Sydney is 17 hrs ahead.)
Once the date on the display shows January 15th, May 15th, and September 15th,
a new submission period has begun and the previous period has ended.
HOWEVER, 24 hours grace will be granted for late submissions.
As long as the time stamp on your submission email in my inbox shows January 15th, May 15th, or September 15th,
your submission will be considered for the previous period.
The following time display shows the current date and time in Nanaimo.

Prohibition on Harmful Content
As per the Code of Conduct, work that is considered harmful toward any group of people will not be considered.
Prohibition on AI-generated Text and Images
No submissions are allowed that contain any AI-generated work.
Submissions believed to contain text or imagery generated by artificial intelligence (AI) will be automatically discarded
and the submitter will be permanently prohibited from submitting to all
Florencia Bay Books publications.
Previously Unpublished and Original
The work submitted must be previously unpublished and completely original to the author.
If accepted, the work must also remain unpublished until it is published by this magazine.
Work that is published or self-published in print or online, including social media, is considered as published and cannot be submitted.
No Attachments for Text
The entire submission must be copied and pasted or manually transcribed into the body of a single email
and sent to the email address shown below.
Do not include any text of your submission in an attachment.
Agreement Statement
You must include the specified Agreement Statement.
Language of Publication
The language of publication is English.
Limited use of a few words using local languages and terms is acceptable, when appropriate, if translations are provided in the notes.
Please include English spellings for words in languages that have non-Latin character sets so that English-language readers
will be able to read and pronounce the words. (eg. Mandarin, Russian, Hindi, Greek, etc.)
Number of Poems
Submit one poem (unless othewise specified).
Other Criteria
Currently, there are no limits for number or lines or word count.
Suggest Keywords (Optional but Recommended)
Suggest three keywords (or very short phrases) for your submission, based on the themes of your Submission
or your writing.
Keywords can help your work be found on the Internet.
Young Poets World – for Poets 18 and Under
Persons under 18 years of age are now required to submit poetry to
Young Poets World
and Weekly Poems, only.
18-year-olds may also submit to Young Poets World.
All other publications on waxpoetryart.com are now restricted to persons 18 and older.
(Poets already published as of May 15th, 2026 across waxpoetryart.com publications
are exempt.)
Under 25 Poetry – for Poets 18 to 24
Persons 18 to 24 years of age can also submit poetry to
Under 25 Poetry.
Biography
Include a short biography, approximately 100 words, maximum.
Long biographies will be truncated at the editor's discretion.
Please do not list more than five previous publications.
You may include one link to an external website such as a website or social media profile.
The biography should be a short description of the artist and can mention, for example, previously publications,
hobbies and interests, general motivations for being creative, etc.
The biography should not be a note about the submitted work.
If it is necessary to include a note about the work, place the note at the end of the work, not within your biography.
Updating Biographies on Artist Pages (New, May 20th, 2026)
Biographies on Artist Pages can be updated after your work is published on January 15th, May 15th, and September 15th.
Send a request to update your biography within 14 days following publication.
Your biography will be updated within 30 days of receiving your request.
Include your new biography (maximum 100 words). You may include one web link.
(You can create a Writer's Page with expanded information and links.)
If you have multiple waxpoetryart.com Artist Pages,
you can update each Artist Page with the same new biography by specifying exactly which Artist Pages to update,
as long as you have at least one new publication.
(To make the transition to this new system easier, until September 14th, 2026 everyone with an Artist Page can update their
biography on each Artist Page ONE TIME by request, no matter when your most recent publication is.)
Get a Free Writer's Page
Create an expanded version of your Artist Page and get a free Writer's Page
at Writers, Poets, Playwrights.
Artist Name, Legal Name, and Mailing, Postal, or Residential Address
Include your Artist Name, Legal Name (even if same as Artist Name), and your complete mailing address
including Street #, Street Name, City, Province/State, Country, and Postal Code.
Your Phone Number/WhatsApp is optional, but recommended.
Notice of Receipt of Your Submission
All emailed submissions will receive an automated email reply confirming that the email containing your submission has been received.
If your submission is correctly formatted, within 30 days, you will receive confirmation that your submission is correctly formatted
and will proceed to the review stage. (Sometimes the automated reply doesn't work, but in the vast majority of cases,
your submission was received.)

Simultaneous Submissions
Simultaneous submissions to other publishers are allowed.
Please withdraw your submission immediately if it is accepted elsewhere.
However, please note that simultaneous submissions to multiple waxpoetryart.com
publications and contests are not allowed.
Submit different work with each waxpoetryart.com submission.
One Submission to Each Opportunity
Each submission period, you can make one submission to each opportunity you are eligible for (unless otherwise specified).

and the waxpoetryart.com home page.
Updating & Replacing Submissions
Please prepare your submission carefully to minimize the need to update.
After you submit, if you want to update or replace your submission,
you can send one updated submission only, before the deadline.
Ensure that your updated submission is complete, especially if you are sending an updated submission right before the deadline.
Your previous submission will be discarded and replaced by your updated submission.
Please include the phrase "UPDATED SUBMISSION" at the beginning of the updated submission.
Notice of Acceptance & Submissions Status Page
Accepted submissions will be notified via email by the dates mentioned above in the "Dates for Notice of Acceptance" section.
As well, your name will be posted to the "Upcoming Publictions" list on the
Submissions Status page, by the specified notification date.
Submissions that are not accepted for publication will not receive a direct notice of rejection,
and will expire once the the Date for Notice passes, or earlier, as noted on the
Submissions Status page, as described in the next paragraph.
Although you will not receive a direct notice of rejection, you will be able to check the
Submissions Status page to see if your name appears
on the "Upcoming Publications" list.
(NOTE: If your name appears on the "Upcoming Publications" list but you did not receive an acceptance email, it means that
there is an issue with email communication and you should try to contact the publication immediately, possibly using an alternate email.
However, since your work was correctly formatted and accepted, publication will proceed.)
Submission Status Page
The Date for Notice of Acceptance mentioned above is the latest date that results will be available.
Every effort will be made to complete reviewing at an earlier time, however increased submissions have made early notification less likely.
As soon as reviewing is completed and accepted submissions are notified,
the Submissions Status webpage will be updated with the
names of artists slated for "Upcoming Publication,"
and non-accepted submissions will expire.

If your name is not included in the "Upcoming Publication" list, you were not accepted this time.

Accessible to All This means that you will be able to share your work with as many people as possible. Even for experienced artists, it is rare to have a published work that all family, friends, fans, colleagues, and truly, the entire world can enjoy.

Poetry World Cup Qualification
Every single-poem submission accepted and published in Wax Poetry and Art Magazine publication qualifies for the Poetry World Cup.
The most-read poems from ten different countries published in all Wax Poetry and Art publications during the calendar year will be
chosen to represent their nations
during the Poetry World Cup that will happen the next year after publication, on January 15th.

Copyright
Copyright of the poem remains with the original artist.
After your work is published here for the first time, you are free to publish it anywhere after.
First Publication
Upon acceptance, the poet grants the publisher, Florencia Bay Books,
the right to the first publication of the poem,
as well as the right to republish the poem in Wax Poetry and Art and waxpoetryart.com anthologies and collections,
online and in print, without additional permission required.
Royalties for Print and Electronic Sales
If the work is ever collected into a book or made available for sale in any print format, the artist will receive a minimum 20% royalty.
If the work is included in a printed collection with other artists (as is most likely), the 20% royalty is shared equally among all artists,
based on the number of submissions contributed.
If the work is ever made available for sale in a digital format, a 50% royalty will be given.
Royalties for print and electronic sales will be paid out annually in January if a minimum of $10 CAD is accrued.
Artist Page, Artist Collection, and Royalty Advance
As of 2024, all published artists receive a Wax Poetry and Art Artist Page.
The Artist Page will house the artist's biography and the list of their publications across the Wax Poetry and Art Network.
Once the artist accumulates 12 publications on their Artist Page, and every 12 publications thereafter,
an Artist Collection will be published in the Library on a specified date.
The artist will be awarded a $50 CAD royalty advance that will be sent within 30 days following the publication of the collection.
This Artist Collection will be published in the Wax Poetry and Art Library alongside collections
such as Comet and Poetry World.
National and Other Collections
In addition to being added to their own artist page, new publications are also added to the
Countries page for their nation.
When a country accumulates enough publications, a National Collection will be published in the
Wax Poetry and Art Library.
As well, collections based on specific themes may be assembled and published at any publication date.
There is no additional payment or royalty advance for inclusion in a National or other collection.
There will not be additional notifications if your work is included in a National or other collection that is published online.
This is because a collection is not a new publication, but rather is a new featuring of an already-published work.
You will be notified if your work appears in an online collection and is chosen to be published in a print version of the collection.
Editor's Choice Prizes
As an independent, free publication, it's currently not possible to offer initial payment to everyone.
The Artist Collection described above is a way that royalties can be accrued.
As well, poems published in a Wax Poetry and Art publication qualify for certain Editor's Choice prizes.
These prizes are considered as royalty advances.
Wax Poetry and Art Editor's Choice – $10 CAD
Awarded to one winner of a Wax Poetry and Art Magazine Contest.
Comet Editor's Choice – $10 CAD
Awarded to one poem collected into a new Comet collection.
Poetry World Editor's Choice – $10 CAD
Awarded to one poem collected into a new Comet collection.
Poetry World Cup – Additional Prizes
All poems qualify for the Poetry World Cup, and the winning poem
receives a cash prize (to be determined).

Editor's Right to Edit
The editor reserves the right to make whatever changes are deemed necessary, at any time, to ensure that publication occurs.
Code of Conduct
All persons representing Florencia Bay Books will adhere to the highest ethical standard
of conduct and respect for all persons and will operate with integrity and in good faith in all matters.
Wax Poetry and Art will not discriminate against any person because of race, religion,
sexual orientation, gender, financial or educational status, physical ability, or any other reason.
Wax Poetry and Art will not consider any submission considered harmful in any way,
especially toward women and marginalized communities.
